This policy explains how Mekvara (“we”, “us”, “our”) collects and uses personal information when you visit www.mekvara.com, send us an enquiry or request for quotation (RFQ), or otherwise contact us. We are committed to handling your information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where applicable, India’s Digital Personal Data Protection Act 2023.

Information we collect

Information you give us

When you submit an RFQ or contact form, email or call us, we may collect:

  • your name, job title, company name, email address and phone number;
  • delivery destination and details of the products or services you are interested in;
  • any files you attach, such as drawings, specifications or photos; and
  • the content of your messages and our correspondence with you.

Please do not include sensitive personal information (such as health information) in enquiries or attachments.

Information collected automatically

Our website is hosted by Vercel. Like most web hosts, Vercel processes technical information such as IP addresses, browser type and pages requested in server logs to deliver the site and keep it secure. We do not use analytics or advertising cookies, and we do not track you across other websites.

How we use your information

  • To respond to your enquiry and prepare quotations — lawful basis: steps taken at your request before entering into a contract, and our legitimate interests in responding to business enquiries.
  • To share relevant specifications with potential manufacturers so they can quote — lawful basis: as above. We share only what is needed and do not share your contact details with suppliers unless you agree.
  • To perform and manage any contract we enter into with you or your organisation — lawful basis: performance of a contract.
  • To keep business records and meet legal, tax and accounting obligations — lawful basis: legal obligation.
  • To keep our website secure and working properly — lawful basis: legitimate interests.

We do not sell your personal information, and we do not send marketing emails unless you have asked to receive them.

Who we share it with

  • Form processing: website form submissions are delivered to our inbox by email through ZeptoMail (Zoho Corporation), which processes the submitted information on our behalf.
  • Hosting: Vercel Inc. hosts this website.
  • Email and IT providers that we use to run our business.
  • Manufacturers, inspection and logistics partners in India and elsewhere, to the extent needed to quote, produce, inspect and deliver your order.
  • Professional advisers and authorities where required by law.

International transfers

We operate in the United Kingdom and India, and some of our service providers are based in the United States. Where personal information is transferred outside the UK, we rely on appropriate safeguards such as adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses, as applicable.

How long we keep it

We keep enquiry information for as long as needed to respond and follow up, and normally no longer than 24 months after our last contact if no business results. Customer and transaction records are kept for as long as required for legal and accounting purposes (typically six years after the end of the relevant financial year).

Your rights

Depending on where you live, you may have the right to:

  • access the personal information we hold about you;
  • ask us to correct or delete it;
  • object to or restrict how we use it;
  • ask us to transfer it to you or another organisation; and
  • withdraw consent, where we rely on consent.

We would appreciate the chance to resolve your concern first.
